New School: Quick Setup Guide

Welcome to CollegeOne Suite! We're delighted to have you join us and eager to kick-start our journey in educational management together. To ease your transition onto our School Management platform, we've crafted a simple Quick Setup Guide to expedite your onboarding:

Platform Access
- You will receive your provisional credentials via email. Use them to log in to CollegeOne Suite.

Initial Setup
- Once logged in, you will be guided through the Setup Wizard. This wizard will assist you in configuring the basic aspects of your school, such as campus information, classes, schedules, and more.


Step 1: Choose your language



Step 2: Create your School current Academic Year



Step 3: Create your School Semesters
  1. Select the academic year to which you want to assign the semester (e.g., 2023-2024).
  2. Specify the start and end dates of the semester. Ensure that these dates accurately reflect the academic period.
  3. Activate the currently active semester by setting the 'Enable' switch to the 'Enabled' position.
  4. Review the entered information to ensure accuracy.
  5. Finally, save the settings and confirm the creation of the new semesters.



Step 4: Create your School Quarters
  1. Select the semesters to which you want to assign the new quarters.
  2. Specify the start and end dates for each quarter, ensuring that these dates accurately reflect the academic period.
  3. Review the entered information to ensure accuracy.
  4. Finally, save the settings and confirm the creation of the new quarters.



Step 5: Create your School Periods
  1. Specify the name of each period.
  2. Indicate the start and end times for each period, ensuring that these times accurately reflect the duration of each period.
  3. You can create multiple periods by clicking on the 'Save and Add New' button.
  4. Review the entered information to ensure accuracy.
  5. Finally, save the settings and confirm the creation of the new school periods.


Step 6: Create your School Grade Levels
  1. Specify the name of each grade level.
  2. Assign the order for each grade level to organize them accordingly.
  3. Mark whether the grade level applies to graduation.
  4. You can create multiple grade levels by clicking on the 'Save and Add New' button.
  5. Review the entered information to ensure accuracy.
  6. Finally, save the settings and confirm the creation of the new grade levels.


Step 7: Create your Teachers
  1. Enter the first name and last name of the teacher.
  2. Enter the email address of the teacher.
  3. Optionally, you can also send an invitation email to the teacher by checking the appropriate box.
  4. You can create multiple teachers by clicking on the 'Save and New Teacher' button.
  5. Review the entered information to ensure accuracy.
  6. Finally, save the settings and confirm the creation of the new teachers.


Step 8: Create your School Groups
  1. Specify the name of the group.
  2. Assign a teacher to the group by selecting their name from the available options.
  3. Assign the group to a grade level by selecting the appropriate grade level from the available options.
  4. You can create multiple groups by clicking on the 'Save and Add New' button.
  5. Review the entered information to ensure accuracy.
  6. Finally, save the settings and confirm the creation of the new groups.


Step 9: Create your Classrooms
  1. Specify the name of the classroom.
  2. Assign a teacher to the classroom by selecting their name from the 'Homeroom Teacher' dropdown menu.
  3. You can create multiple classrooms by clicking on the 'Save and Add New' button.
  4. Review the entered information to ensure accuracy.
  5. Finally, save the settings and confirm the creation of the new classrooms.



Step 10: Choose your Grading Scale

  1. Select the grading scale type according to your preference:
    1. Traditional
    2. Extended
    3. Create your own custom grading scale

    Traditional vs. Extended Grading Scales: A Short Breakdown

    Traditional Grading Scale:

    • Definition: The traditional grading scale uses letters to represent ranges of achievement. The highest letter, typically "A", signifies the strongest performance.
    • Evaluation Ranges:
      • A: 90% - 100%
      • B: 80% - 89%
      • C: 70% - 79%
      • D: 60% - 69%
      • F: 0% - 59%

    Extended Grading Scale:

    • Definition: The extended grading scale builds upon the traditional system, but further divides some letter grades into subcategories for finer distinctions.
    • Evaluation Ranges:
      • A+: 95% - 100%
      • A: 90% - 94%
      • B+: 85% - 89%
      • B: 80% - 84%
      • C+: 75% - 79%
      • C: 70% - 74%
      • D+: 65% - 69%
      • D: 60% - 64%
      • F: 0% - 59%

    If you choose to create your own custom grading scale, click on the button titled 'Add Grade Scale'.
        1. Set Up the Grading Scale
          1. Specify the name of the grading scale you wish to create.
          2. Select the grades to which you want to apply the grading scale.



        2. Creating the Grading Scale
          1. Begin by selecting the letter that will represent the obtained grade.
          2. Set the minimum and maximum values that the letter representation should apply to.
          3. Define the value to be considered for the GPA (Grade Point Average).
          4. Check the box if this value earns credits.


    Finally, save the settings to apply the chosen grading scale.

    Step 11: Configure Assignment Weights

    1. Choose the teacher for whom you wish to configure assignment weights.
    2. Select the types of assignments to which you want to apply weights.
    3. In the "Weight" field, specify the weight value you wish to assign to each type of assignment.
    4. Choose the classes to which you want to apply these assignment weights.
    If there are no classes created or if you wish to configure the weights later, simply press the arrow to continue.

    Step 12: Configure Grade Round-Up

    Grades Round Up is a feature that rounds the student's raw score on an assignment or exam to the nearest whole number. For example, a score of 89.5 would be rounded up to 90. To enable this feature, simply switch the toggle switch to the "enable" position.



    Great! You've reached the final step.

    The basic setup process for your school has been completed successfully. Now, we suggest you start creating your classes. Then, you can proceed to create student profiles. Alternatively, you can choose to enable the online enrollment system, allowing parents to complete the enrollment process automatically.
