This guide will walk you through the various functions available for managing parent information in the CollegeOne portal. You can view, create, edit, import records, and manage access permissions for parents.


Step 1: Creating a New Parent Record


Click on "New":
This will open a form to enter the parent's personal information.

Fill in the Parent's Details:
Enter the full name, telephone numbers, address, and other relevant information.
Optionally, upload a photograph to complete the registration.

Link the Parent to a Student:
In the "Student" box, search for and select the student's name who has already been registered.

Enter the Parent's Email Address:
Input the email address of the parent you are registering.
Click on the light blue "Generate Password" button. This will create a password and give the parent access to the CollegeOne portal.





Step 2: Importing Parent Records

Click on "Import Parents":
This allows you to upload a list of parents information.

Select the File:
Click on "Select file" and locate the file with the parents information.


Step 3: Managing Portal Access

Access the "Portal Access" Function:
This function allows you to manage whether a parent can access the CollegeOne portal.

Enable or Disable Access:
Click on "Enabled" to change it to "Disabled," which will block the parent's access to the portal.

Step 4: Using the Actions Menu

Click on "Actions":
You will see three options: Edit, Details, and Delete.
Edit:
Modify any existing information of the parent record.
Details:
View the complete details of the parent record.
Delete:
Remove the parent record from the system if necessary.

Step 5: Switching Parents

This allows you to change the primary parent associated with a student.
Mark the Students:


  • Ensure the names of the parents are correct.
  • Click the "switch" button in the lower right corner to make the change.

View Registered Families:
This function displays a complete list of families registered in the institution.

Review Family Information:
The light blue "Family Link" box shows all registered information and established family links.
It allows us to add more people to the family link through the 'Family Link
If needed, the 'Edit' button will take us to the user's profile, whether it is a student or a parent, where we can edit the required information.
